How to Answer Customer Enquiries When You Are Busy Running a Small Business

Adyft Guide

Small Business Growth

When you are busy, the goal is not to answer every enquiry in full straight away. It is to make sure every person hears something useful quickly, and gets a proper answer at a time they were told to expect. A short holding reply, two or three fixed times a day for answering, one shared place where every message lands, and, where it fits, an assistant that can answer the simple questions for you: together these cover most of the gap without hiring anyone.

The owner’s problem nobody designs for

A hairdresser with a client in the chair, a dentist mid-treatment, an electrician on a ladder: none of them can reply to a message for the next hour. Yet that is exactly when a customer, often one you paid an ad to reach, is deciding who to book.

Advice that says “reply within five minutes” is correct about the customer and unrealistic for the owner. The useful question is which part of the reply has to be fast, and which part can wait.

💡 Fast and complete are two different jobs. The first reply has to be fast. The complete answer only has to arrive when you said it would.

Six ways to cover the gap

1. A holding reply that says something real

“Thanks, we will get back to you” tells the customer nothing. A better holding reply gives one useful fact and a time: “Thanks for your message. Cuts start at £25 and we have space this week. I am with a client and will reply properly by 1 pm.” Even the WhatsApp Business app lets you set an away message, and most website chat tools have one.

2. Fixed answer times

Pick two or three moments in your day, such as before you open, at lunch and at closing, and promise those in your holding reply. Customers handle waiting well when they know how long it is. They handle silence badly.

3. One place for every message

Enquiries arrive by website form, chat apps, ad lead forms, Instagram and phone. When they live in five places, some get forgotten. Moving them into one inbox that more than one person can see is often the biggest single improvement, because a partner or assistant can pick up what you cannot.

4. Ready answers for the questions you hear every day

Write down the ten questions you answer most: price, location, parking, hours, how long it takes, whether you cover a certain area. Save the answers as ready-made replies. A thirty-second gap between clients is enough to send one.

5. Let the customer pick the call-back

For services that need a conversation, offer two slots instead of calling at random: “Would 12:30 or 5:15 suit you for a quick call?” Fewer missed calls on both sides.

6. An assistant that answers the simple questions

An AI assistant trained on your own website and price list can answer the everyday questions in full while you work, and pass anything it is not sure about to you. Used carefully, it means the customer gets the right price at 10:02 instead of 1 pm.

How to choose

If your situation is…Start with
A few enquiries a day, mostly the same questionsHolding reply, fixed times, saved answers
Enquiries in several apps and placesOne shared inbox
A partner or receptionist who could helpShared inbox with clear ownership of each chat
Many enquiries, many outside working hoursAn AI assistant with human hand-over
Jobs that always need a site visit or a callCall-back slots offered in the first reply

What not to do

  • 1Do not let any tool invent prices or availability. A wrong answer sent fast is worse than a right answer sent later.
  • 2Do not answer a detailed question with “please call us” if the customer chose to write. Many people message precisely because they cannot talk right now.
  • 3Do not switch on ads you cannot answer. If a campaign brings thirty enquiries on a Saturday and nobody replies until Monday, lower the budget at weekends or set up cover first.

Where Adyft fits

Adyft Reply is built for this owner. Its Free plan is open now, with no card: one team inbox for up to 3 people that collects your website chat and Telegram messages, plus a contacts list. When WhatsApp, Instagram and Messenger are approved by Meta, they join the same inbox.

The AI answers come with Reply’s paid plans, which are opening soon. They read your website and uploaded price lists, reply in the customer’s language, never state a fact they were not given, hand the chat to a person when needed, and can send an out-of-hours reply outside your business hours.

If your enquiries come from ads, Adyft Ads also gathers every lead from its campaigns into one Leads inbox with Call and WhatsApp buttons, so the people you paid to reach are easy to find when your next free moment comes.

Questions about answering when you are busy

What should an away message say?

One useful fact, such as a starting price or availability, and a specific time when you will reply properly. Avoid a bare “we will get back to you”.

Is it rude to use an automatic reply?

Not if it is honest and useful. Customers mind being ignored far more than they mind an automatic message that tells them when to expect an answer.

How many people can share the Adyft Reply Free inbox?

Three, the owner included. Paid plans have more seats.

Can an AI assistant give wrong prices?

Any assistant can if it guesses. Adyft Reply is built to answer only from what you gave it and to say the owner will confirm anything else.

Should I pause ads when I cannot answer?

If enquiries would sit unanswered for a day or more, yes, or reduce the budget for those days. Unanswered leads are paid for and wasted.
