Lots of Enquiries, Few Customers? How a Small Business Turns More Enquiries Into Sales

Adyft Guide

Small Business Growth

To turn more enquiries into customers, answer the first message quickly and fully, give prices with what they include, ask one question that shows you understood the need, and always end with a specific next step such as two appointment times or a payment link. Then follow up once or twice if the person goes quiet. Most small businesses do not lose enquiries because of price. They lose them in the gaps between messages, where a competitor answered first or made booking easier.

First, measure it

Count your enquiries for a month, then count how many became paying customers. Divide the second by the first. That is your enquiry-to-customer rate. You do not need to compare it with anyone else’s; you only need to know whether yours goes up after you change something.

Split it by source if you can. A rate that is very different for ads and for referrals is normal, since referrals arrive already trusting you. A rate that is near zero for one campaign tells you that campaign brings the wrong people, which is an ad problem, not a sales problem.

The seven places enquiries are lost

1. The first answer comes too late

People who enquire online often ask several businesses at once. The first clear answer gets the advantage. If you cannot reply in full quickly, at least reply quickly with something useful and a time for the full answer.

2. The answer does not answer

“Please call us for details” in reply to “How much is it?” loses many people. If the honest answer is “it depends”, say what it depends on and give a range.

3. The price arrives naked

A number on its own invites comparison with the cheapest option. The same number with what is included, how long it takes and what makes yours different invites a decision.

Weak replyStronger reply
“It’s £80.”“It’s £80 for a full service, about 90 minutes, parts extra only if needed, and we tell you before replacing anything.”
“₹15,000 per month.”“₹15,000 a month for 3 classes a week in batches of 8, with a free trial class first.”
“AED 450.”“AED 450 for a 2-bedroom deep clean, two cleaners, around 5 hours, products included.”

These are illustrative examples. Use your own prices and inclusions.

4. Nobody asks a question

One good question shows you are listening and helps you recommend the right option: “Is this for you or for your child?”, “Is the leak getting worse?”, “Are you buying or renting?”. It also turns a one-way price check into a conversation.

5. There is no next step

Every reply should end with something easy to say yes to. Not “let me know”, but “I can do Thursday 4 pm or Saturday 10 am. Which suits you?”. Two options work better than an open question.

6. Booking is hard

If saying yes means filling in a long form, phoning during office hours or transferring money by hand, some people give up. A booking calendar, a payment link or simply “reply YES and I will confirm” removes friction.

7. No follow-up

People get busy. A single polite message a day or two later, with something useful such as a free slot or a photo of similar work, recovers a share of quiet enquiries. Stop after two or three tries.

💡 A useful test: read your last ten replies to new enquiries. How many gave a price with context, asked a question and offered a specific next step? That number is usually the fastest fix in the business.

When the problem is before the enquiry

Sometimes conversion is low because the wrong people are enquiring. Signs: many ask for things you do not offer, are outside your area, or expect a much lower price. Fix that upstream. Put the area and starting price in the ad and on the website, and add a qualifying question to lead forms.

Questions about converting enquiries

What is a good enquiry-to-customer rate for a small business?

It depends heavily on the trade, price and source, so compare with your own past rate rather than an average. Track it monthly and by source.

Should I give prices over WhatsApp or by message?

Usually yes, with what is included. Withholding the price until a call loses people who are comparing quickly.

How do I deal with “too expensive”?

Explain what the price includes, offer a smaller starting option if you have one, and do not discount straight away.

How many times should I follow up an enquiry?

Two or three times over about a week, each with something useful, then stop.

Can a chatbot close sales?

It can answer questions and move people to a booking or payment link. Complex or high-value decisions still go best with a person, which is why hand-over matters.
