Which Ad Brought This Customer? A Simple Way for a Small Business to Track Where Enquiries Come From

Adyft Guide

Small Business Growth

To know which ad brought which customer, a small business needs three layers working together. First, each ad platform records the leads it produced directly, such as lead forms and WhatsApp chats. Second, your website records which visits ended in a call, a WhatsApp click or a form, and where those visitors came from. Third, you record the source next to every enquiry and mark which ones became paying customers. The first two layers are mostly set-up work done once. The third takes ten seconds per customer and is the one most businesses skip.

Why “the ads are working” is not enough

Busy weeks have many causes: a season, a local event, a good review, a referral. If you cannot tie customers to their source, you will keep paying for the campaign that happened to run during a busy month and cut the one that quietly brought your best clients.

There is also a gap between a lead and a customer. One campaign can bring cheap enquiries that never book, while another brings fewer, pricier enquiries that nearly all book. Only tracking through to the customer shows the difference.

Layer 1: what the ad platforms record

Meta and Google report spend, clicks and, when set up, conversions. For leads that happen inside the platform, the data is already there:

  • 1A Meta lead form records each submission against the campaign, ad set and ad.
  • 2A Click-to-WhatsApp ad starts a chat that Meta can link back to the ad.
  • 3A Google Search ad can count calls and website actions once conversion tracking is set up.

In Adyft Ads, leads from its Meta lead form and WhatsApp campaigns arrive in one Leads inbox with the campaign they came from, and Reports shows leads and clicks per campaign for every campaign. That covers the leads that never touch your website.

Layer 2: what your website records

For ads that send people to your website, the platforms only know someone clicked. What happened next lives on your site. To see it, the website needs to track the actions that mean “this person got in touch”:

Action on the siteWhy it mattersUsual tool
Form submittedA written enquiryGA4 event, Meta pixel lead event
Call button tappedMost local customers ring from a phoneGA4 event on the tel: link
WhatsApp button tappedOften the most used contact buttonGA4 event on the WhatsApp link
Visit came from which ad or sourceTies the action to the campaignUTM tags on ad links, read by GA4

Every Adyft Sites plan comes with this tracking set up: GA4, the Meta pixel, and call and WhatsApp click tracking, alongside the WhatsApp button and enquiry form. If your site was built elsewhere, ask your developer specifically for these four events; page views alone are not enough.

Layer 3: the question you ask every customer

Tracking tools miss things. Someone sees your Instagram ad, searches your name on Google a week later and phones you. The platforms see an ad view and a branded search; neither knows it was the same person. So ask.

💡 “Can I ask how you found us?” Ask it of every new customer, write the answer next to their name, and you will learn more in three months than most dashboards show you in a year.

Offer simple choices: Google search, Google Maps, Instagram, Facebook, WhatsApp ad, a friend, walked past. Record the honest answer, even “not sure”.

Putting the three layers together

Once a month, make a small table: each source, the enquiries it brought, the customers it brought, and what it cost. You can do this in a spreadsheet in half an hour.

SourceSpendEnquiriesCustomersCost per customer
Google Search campaignFrom the ad accountFrom website trackingFrom your notesSpend ÷ customers
Meta WhatsApp campaignFrom the ad accountFrom the Leads inboxFrom your notesSpend ÷ customers
Google Maps (free)0From calls and notesFrom your notes—
Referrals0From notesFrom your notes—

The last column decides budgets. A campaign with a higher cost per lead but a lower cost per customer deserves more money, not less.

Mistakes that break tracking

  • 1Ad links with no UTM tags, so all paid visits look like “direct” traffic.
  • 2A WhatsApp number shown as plain text instead of a tracked button.
  • 3Leads copied into a notebook without the source.
  • 4Comparing platforms by cost per lead only, never by customers.
  • 5Changing the website and the ads in the same week, so you cannot tell which change mattered.

Chats from WhatsApp ads

WhatsApp chats are the hardest leads to track by hand because they sit in a phone. When Adyft Reply’s WhatsApp channel opens after Meta’s approval, it records which Click-to-WhatsApp ad started each conversation. Until then, keep the habit of noting the source when the chat begins.

Questions about tracking where customers come from

What is the easiest way to know which ad brought a customer?

Use lead forms or WhatsApp ads where the platform records the ad, track calls, WhatsApp clicks and forms on your website, and ask every new customer how they found you.

Do I need Google Analytics for a small business website?

It is the usual free choice for seeing which visits led to a call, WhatsApp click or form. Without it, or a similar tool, you only see total visits.

What are UTM tags?

Short labels added to a link, such as the source and campaign name, so your analytics knows where a visit came from.

Why do my ad reports and my real customers not match?

Platforms count some actions they cannot connect to sales, and miss customers who saw an ad and contacted you another way. Your own notes fill the gap.

Does Adyft show which campaign each lead came from?

Yes. Leads from Adyft’s own Meta lead form and WhatsApp campaigns show their campaign in the Leads inbox, and Reports breaks down leads and clicks per campaign.
